Position Summary:
Assists Facilities Manager in the efficient operation of the ASA mailroom and Schaumburg facility. Distributes and collects incoming mail and packages and processes outgoing mail and packages in accordance with current policies and procedures. Assists in overall office operations and special projects, as directed. This is a part-time onsite position. The hours can be flexible and would be 20-30 hours per week (Monday – Friday during business hours).
 
Primary Position Responsibilities:

  • Oversee mailroom operations including sort and distribute incoming mail and collect and process outgoing mail in accordance with current policies and procedures. Operates postage and other related equipment, and ensure accuracy of charges, order supplies and process end of month reports.
  • Receive, log and distribute incoming shipments and packages. Process/prepare outgoing shipments, packages and US mail requiring special shipping and handling requirements, including overnight couriers, UPS, certified and international mail.
  • Order office and pantry supplies as needed. Stock supplies and maintain supply inventories and storage areas.
  • Provide on-site facility setup (as needed) for events scheduled in the ASAHQ Conference Center. This includes moving furniture and equipment and setting up, reconfiguring, and breaking down of the conference center rooms including the movable (air) walls. Work with on-site caterer and day porter as needed.
  • Back up the Facilities Manager during absences, meetings, etc. Contact appropriate vendors for services and repairs as necessary.
  • Perform light maintenance functions such as replacing light bulbs and batteries and making minor repairs through facility. Oversee the exterior grounds and parking lot by picking up trash, papers, sweeping as needed and weather permitting.
 
 

 
Position Qualifications:
  • High school diploma or equivalent required.
  • Minimum 1 year of facilities support preferred. Familiarity with the operation of a mail and copy center a plus.
  • Ability to work effectively with varied individuals, including vendors, to facilitate the completion of events.
  • Highly developed interpersonal skills and demonstrated high level of confidence and poise with high volume of public contact and member service orientation.
  • Basic knowledge in Microsoft Office applications, Word, Excel, Outlook and other productivity focused tools.
  • Ability to identify and resolve problems in a timely manner; gather and analyze information skillfully and maintain confidentiality.
  • Familiarity with audiovisual equipment and virtual meeting platforms (i.e. Zoom/Microsoft Teams) preferred.
  • Able to operate standard office equipment (i.e. copiers, printers, faxes, etc.).
  • Team spirit and flexibility are needed.

Position Compensation:
This position is a non-exempt/hourly position. The target hiring pay range for this position is: $24-$26 per hour depending on experience. This is a part-time position – it is not benefits eligible and is not eligible for a yearly bonus/incentive.
