Position Summary:
This position will support ASA leadership in aspects required for the successful execution of Executive Committee (EC), Administrative Council (AC), Board of Directors (BOD) and House of Delegates (HOD), committee and governance-related operations and projects, consistent with ASA’s strategic plan.
Duties include but are not limited to assisting with the execution and coordination of day-to-day operational and administrative functions to meet deadlines, monitoring short-range goals and projects, and providing support in managing tasks for the ASA leadership and the Governance department.
Primary Position Responsibilities:
- Implement “best practices” to streamline ASA operations, ensure that tasks mandated by the Bylaws, Administrative Procedures and governing entities and Officers are accomplished in a timely and efficient manner and in accordance with ASA policy.

- Interface with and support all levels of physician/member leadership as appropriate (EC, AC, BOD, HOD, Sections, Divisions, Committees, Editorial Boards, Ad Hoc Committees, Components (delegates, speakers bureau), etc.

- Working with the Senior Governance Specialist, support committee nominations, appointments, and management:
- Collaborate on leadership reviews and appointments.
- Roster management.
- Update and maintain association management system as it relates to committee and editorial board appointments and staff liaisons.
- Ad hoc committee structure support and communications.
- Listserv coordination.
- Research and address member inquiries.

- Serve as staff expert on the committee nomination and appointment technology platform, Submit, assign, and respond to JIRA tickets regarding troubleshooting and upgrading the platform and its adjacent programs (JotForm, SharePoint, etc.).

- Maintain Board and House rosters including verification of selection and eligibility for Directors, Alternate Directors for the Board and Delegates and Alternate Delegates for the House. Distribute allocation of seats to component societies annually. Update seating chart for House of Delegates for posting.

- As a member of the Governance Department team, support Board of Directors and Annual Meeting/House of Delegates meetings. Provide preparatory, onsite, and post-meeting support including review/reference committee, rosters, tellers, and credentialing committee management, circulating post-meeting surveys to attendees.

- Process member leader expense reports for AC and BOD meetings, and others, as necessary.

- Provide project management for content and roster management for ASA Member Leader Essentials (AMLE) modules in ASA learning management system.

- As a member of the ASA Governance Department, supports and coordinates governance-related operations and projects, technology platforms (e.g., Sitecore) and meeting planning coordination (e.g., JotForm), as assigned by the Senior Governance Specialist and Director of Governance. Provide project management for assigned and special projects.

- Handle and maintain highly confidential and non-routine information and communications. Respond to routine requests for information and determine which requests should be referred to ASA Officers and Senior Staff team.

- Maintain the compliance program documentation for Copyright and Conflict of Interest per disclosure requirements and ASA policy, including those for all governing body members (EC, AC, BOD, HOD, committee members) and Senior Staff.

- Serve as staff liaison to assigned Committees and/or Councils.
|
- Provide support for member leader and staff liaison orientations, trainings.
|
- Update and submit Monitor articles regarding candidates/elections, committee nominations, etc. in a timely fashion.
|
- Implement recognition program for outgoing BOD members, committee chairs and editors-in-chief.

Position Qualifications:
- Bachelor’s degree in related field preferred.
|
- Minimum 3 years of relevant experience. Volunteer and project management experience preferred. Meeting planning experience a plus. Experience with an Association Management System or database management a plus.

- Experience working in a member association and with key association executives and elected leaders a plus.
|
- Proficient in Microsoft Office applications, webinars, and other productivity focused tools.
|
- Experience with membership databases such as CRM/ AMS highly desired.
|
- Ability to communicate with a variety of stakeholders, including ASA members, key executive staff, and ASA leaders, requiring a high level of finesse, diplomacy, and professionalism.

- Clear and consistent communicator (verbal and written). Excellent writing and proofreading skills.
|
- Ability to discern confidential information and maintain confidentiality.
|
- Ability to identify and resolve problems in a timely manner, gathering and analyzing information skillfully and maintaining confidentiality.
|
- Demonstrate personal integrity in interactions with vendors and contractors and in communications with members and staff.

Position Compensation:
This position is an exempt/salaried position. The target hiring pay range for this position is: $60,036.00 to $72,204.00 annually. This position is not eligible for a yearly bonus/incentive.
Compensation decisions consider a wide range of factors, including but not limited to relevant experience, skills, certifications, business needs, and organizational policies.

Environment:
While performing the duties of this job, the employee regularly works in an office environment with light noise. Work may be frequently interrupted. The employee will spend most of the workday sitting, computing, and talking/hearing. May require lifting (boxes) in the 10-25 lb. range requiring the ability to bend at the waist and knee.
